Quick start

  1. Drag a file onto the Upload area (PDF or Excel, up to 20 MB; up to 10 at a time).
  2. Leave Document Type and Logo on Auto-detect unless you know better.
  3. Click Convert and watch the progress bar.
  4. On the Review page, compare side-by-side and Approve & Download, request a Fix, or Reject.

Output mode

Accessibility remediation (default) preserves your document and adds proper tagging. Regenerate is opt-in for presentations and infographics — it rebuilds the layout into a clean accessible structure. Most users should leave this on Remediation.

Tips

  • Text-based PDFs convert faster and cleaner than scanned image PDFs.
  • For budget Program Offers, upload the Excel source (.xlsx) — no AI involved, 100% accurate.
  • Pick a Logo from the dropdown (Department of Community Services, Elections, Library, Portland Metro, etc.) to brand the output header.
  • This ? button opens Help on any page. To send feedback or report a problem, use the green Feedback pill in the bottom-right.

FAQ

What file types are supported?

PDF (.pdf) and Excel (.xlsx) files, up to 20 MB each. You can upload up to 10 files in one batch.

How long does a conversion take?

Typically 30 seconds to 2 minutes per file. Large or complex documents can take up to 5 minutes. Excel uploads are nearly instant.

What does the WCAG score mean?

A score of 95+ (green) means the output passes all major accessibility checks. 80–94 (orange) means minor issues exist. Below 80 (red) means significant review is needed.

How does the review process work?

After conversion, the Review page shows the original and the accessible output side-by-side. Three actions: Approve & Download (output is good), Request a Fix (type a plain-English instruction like "fix the phone number in section 3"), or Reject with a reason. Each decision teaches the system.

What are the download formats?

HTML — Accessible web page ready for publishing. PDF — PDF/UA compliant accessible PDF. Admins can also download the underlying JSON, YAML (Drupal webform), and form-schema data.

Can I see other people's uploads?

No. Your History page shows only the files you have uploaded. Admins can see all uploads for system maintenance.

Does the system learn from my corrections?

Yes. After a few approvals of similar documents, A11yReady builds a consensus template that corrects heading hierarchy on future runs — deterministically, and only from recent corrections (older ones age out). Form-field completeness is guaranteed separately at render time, so no field is ever lost regardless of learning.

Where do my files go?

Files are processed inside Multnomah County's Google Cloud environment (Cloud Run, GCS, Firestore). No data leaves county infrastructure. Files are not shared with AI vendors or used for model training.
